POSSIBILITY TO CONFIRM A SHIFT FOR AN EMPLOYEE
If an employee informs you that they cannot confirm their shift in the Merinio platform, you can now do it for them.
Go to the schedule, then click on the shift to be confirmed, in the modal select the "Confirmation status" tab and click on "Confirm shift for employee". The employee will receive an email or text message informing them that their shift has been confirmed.
NEW OPTION TO LOCK TIME CARDS
We have sometimes observed this problem: a time card is modified even though it is part of the payroll period that has just been made. This creates an error for managers and accountants.
To avoid this problem, we have developed the "Lock time cards" feature. After clicking on this button, choose a date. Time cards that have been created before this date cannot be modified.
AUTOMATIC CREATION OF TIME CARDS FROM THE WARNING MESSAGE
We know that creating punch cards can be time-consuming, so we found a solution: fill in the missing cards automatically! Indeed, when the error message "X number of shifts do not have corresponding punch cards" appears, click on it. A window will appear with the list of shifts that need to be punched, you just have to select the ones you are interested in and click on Submit. You will then see them appear in the punch card list, filled in with one click.
To approve them, click on the yellow message "X number of punch cards need your attention!", only the punch cards that have not been approved will appear, you can choose here to approve them or not.
POSSIBILITY TO MAKE AN AVAILABILITY REQUEST THAT REPEATS INFINITELY
Systematically adding an end date to an availability could be a constraint. If the employee knows that their availabilities will not change in the next few months, they can keep these availabilities indefinitely. He can of course change it at any time.
Moreover, employees whose availabilities are about to expire, therefore if they have an end date, receive an email or an SMS one week before they expire, to remind them to create a new request.
AVAILABILITIES CAN NOW BE IMPORTED IN .CSV FORMAT
As with user profiles, time-off and punch cards, you can now import your users' availabilities into Merinio via a .CSV file. This option is very convenient if you already know the availabilities of your employees, they don't have to enter them themselves, and therefore you don't have to approve them all one by one.
On this page, we provide you with a downloadable .CSV file with the name of the fields to be filled in and the information to be entered in each column. Then upload the .CSV file in the "Upload a file or click here to choose one" section.
THE EMPLOYEE CAN NOW CANCEL A TIME-OFF REQUEST BEFORE IT HAS BEEN APPROVED BY THE MANAGER
An employee can actually work on the day he took off? No problem, they just need to cancel it, and you will receive an email informing you that the employee is available to work on the day they supposedly took off.
To do this, the employee must go to their portal and click on "View history" under My Time Off section, they can then click on "Cancel" to the right of the time off that has to be deleted.
TIME OFF TAKEN FOR SHIFTS THAT ARE NOT YET APPROVED APPEAR IN THE SCHEDULE
If an employee requests time off, and you have already assigned them a shift in the schedule WITHOUT CONFIRMING OR PUBLISHING IT, then the shift will appear as a purple striped shift in the schedule.
The purpose of this new feature is to further reduce errors in the schedule, now you know right away that you need to replace the employee on time off!
A BUTTON HAS BEEN ADDED TO QUICKLY ACCESS THE FILES RELATED TO AN ABSENCE REQUEST
Before, you had to open the absence request to see if a file had been attached to it, now you know right away thanks to the button with a document icon on the right of the absence request. In addition, you can click on this button to access the file more quickly.
EMPLOYEES CAN NOW HIDE MESSAGES
If the bulletin board is used frequently, it can quickly feel like it is overflowing with messages. That's why employees can now hide messages they have already read with the "Hide" button.
Please note that this option does not delete messages! If the employee wants to see hidden messages again, they can click on the "Show hidden messages" button on the top right.
