Improved import options, customization of notifications and optimization of the dashboard.

In this article you will find:


ABILITY TO IMPORT SCHEDULE TEMPLATES IN .CSV

It was already possible to import user profiles, shifts and punch cards, now you can import schedule templates! To do this, go to the Schedule templates module, click on the down arrow next to Create a schedule template and select Import schedule template.

You will notice that there are two drop-down menus with the required field codes: "Template import fields" and "Template events import fields". In fact, we allow you to import schedule templates as well as the shifts that are attached to them, which saves you from importing two .CSV files.

To import a schedule template, proceed as you normally do with the other import options (users, schedules and punch cards): click on Download template and fill it in or import your own .CSV file already filled in. Once all the information you need is displayed, click Submit.


CHANGING OF VARIABLE NAMES IN THE .CSV IMPORT OF EMPLOYEE PROFILES

In order to clarify the fields to be filled in the .CSV files for importing employee profiles, we have changed some of their names. In the list below, you will find on the left the old names and on the right the new ones:

  • email1 > personnalEmail

  • email2 > workEmail

  • phoneNumber1 > homePhone

  • phoneNumber2 > cellPhone

⚠︎ If you plan to re-import .CSV documents with these old field names, we invite you to change them or download the new .CSV template. ⚠︎


EMPLOYEES CAN DISABLE SHIFT REMINDER NOTIFICATIONS

Some employees do not want to receive a notification the day before their shift, so they can now choose to turn them off. They will need to go to their portal and then click on their name in the upper right-hand corner and select My Notifications. Here they will be able to check the option to Disable shift reminders.


NEW OPTION TO SEND OR NOT A NOTIFICATION WHEN A SHIFT IS EDITED

When you edit/delete a shift that has been assigned to an employee and published in their schedule, an option now appears at the bottom of the window asking whether to send a shift edit/delete notification to the employee.

⚠︎ This option does NOT appear if the shift is not assigned to any employee and has not been published in their schedule. ⚠︎


ADDITION OF THE ABILITY TO PUNCH IN FROM A CELL PHONE

Previously, employees who did not have a smartphone or internet access had difficulty punching in. We have found a solution to this problem: punching in by phone call!

Users simply call their company's phone number, choose the punching option and then their shift from the voice menu and enter their employee number on their digital keypad.

Note 🗒: The company phone number can be found in the employee portal by clicking on the name at the top left of the screen and then selecting the Important Information option.


CHANGES TO THE ORDER OF THE NUMBERS IN THE PUNCH TERMINAL

The numbers on the punch terminal's digital keypad were previously in reverse order to those on the traditional digital keypads, so to avoid confusion, we have put them back in ascending order.

Note 🗒: If you type in your employee code without actually looking at the digital keypad when punching, be careful the next time you use it!


AUTOMATED FILTERING FROM THE DASHBOARD

In the dashboard, in the Things to do section, you will find the most urgent pending requests. But it used to be quite difficult to find those requests in the list, especially if there are many of them!

Now, to make it easier to find, as soon as you click on one of the action options (attendance requests, time-offs/availabilities to be approved and time cards to be validated), a filter is automatically applied to the list in order to have a quick and global view on the urgent tasks you have to complete.


ARCHIVED BULLETINS CAN BE HIDDEN

In order to make the list of bulletins clearer, you can now hide those that have been archived. This does not delete them, you can always re-display them if needed. Go to the Bulletins module, click on the View drop-down menu and click on Hide archived bulletins.
