New schedule displays, punching terminal improvements and projects optimization

A NEW SUMMARY LINE FOR THE NUMBER OF HOURS IN THE SCHEDULE

To have a global view of the number of hours worked, you can display the number of hours worked per day in the Weekly View only. We advise you to activate it only when you need it and then deactivate this option to maximize the speed of the system. To view the summary row, go to the Schedule and complete the steps below:


A NEW OPTION ALLOWING ONLY PUBLISHED SHIFTS TO BE SEEN BY EMPLOYEES

When the schedule is under construction and therefore subject to change, it can be confusing for employees when they look at their own schedule. So to control the visibility of shifts, you can now choose the option to Publish them, this option makes only those shifts visible in the employees' schedule. Do this when you are sure that the shift information will not change!

To enable this option, go to Admin > Schedule and check the Show only published shifts in employee portail option

In order to use this option, go to Management > Schedule. This new button showing the number of published shifts is available at the top right and the following options will be available:

  • Publish all shifts allows you to avoid having to select them one by one to publish them by hand

  • Unpublish all shifts overrides the previous option

  • Show only unpublished shifts prevents you from seeing shifts that are already published, it allows you to have a global view of shifts that are still to be published. Note that to view all shifts again, you must remove the Unpublished shifts filter that automatically appears in the filter bar at the top right of the schedule.

You can also manually select the shifts that are to be published by right-clicking on the desired shifts and clicking Publish shift.

To cancel the publication, right-click on the shift and choose Unpublish shift. The shift will no longer be in the employee's schedule.

To get an even clearer view of the schedule, you can click the View button > Show shift publication status. An ☑️ icon will appear next to the published shifts.


NEW FILTER FOR EMPLOYEES WHO ARE NOT INTEGRATED ON THE PLATFORM OR WHO HAVE NEVER LOGGED IN

In order to check if all your employees have been invited to the platform and if they are all using the software, you can see it in the Users module thanks to the filters "Not onboarded" and "Never connected".

You can also see this information through the Options button by choosing "Last connection" and "Onboarding" to see in the users list if they have already logged in and if they have been invited to join the platform.


2 IMPORTANT IMPROVEMENTS FOR THE PUNCH CARDS

1. New field "additional information" in the punch cards

In order to add details on a punch card (particular context, exceptional information related to the payroll...), we added an "Additional info" field that you can fill when you create a card in Management > Others > Punch cards > Create a punch card.

This additional info can be found in the punch card, but also in the .CSV export document under the "additionnalInfo" column that you can generate in the Punch cards module. Here is a preview of the .CSV document:

Note that this additional information will NOT be found in the payroll export documents since payroll software (Nethris, Employer D) does not support this type of information.

2. Payroll errors are now clickable

It was sometimes difficult to target where the errors were in the punch cards when exporting the payroll report, now you can click on the yellow message to see all the cards with problems.

Our tip: Don't forget to read the red message to get more information about the punch card errors!


2 IMPORTANT IMPROVEMENTS FOR THE PUNCH TERMINAL

1. The way to use the "Options" button in the punch terminal has changed

First, you must now enter your employee number before clicking the "Options" button to prove that it is you.

Then, clicking on Options > Close Punch Terminal no longer creates a blank punch card, so the data is more precise when exporting the cards and doing payroll reports.

2. Option to not check off any hiring data so everyone can fill out the questionnaire when punching in.

Sometimes it's complicated to determine which hiring data gives access to the questionnaire, so we've added the ability to not select any so that all employees have access to the questionnaire.

Go to Admin > Daily Questionnaire and in the Hiring Data types section, select the blank field that should be first in the list.


ADDITION OF DEFAULT SHIFT TAGS IN PROJECTS, VISIBLE ON PUNCH CARDS

In order to have all the information for a shift and a project in one place and to make the punch cards as detailed as possible, you can add default tags to a project that will be linked to the punch cards. To perform this action, first go to Admin > Projects and check the option Enable project default shift tags.

Create a project in Management > Projects > Create a project. In the Additional info drop-down menu, you can add Default Shift Tags.

Then, when you create a shift in the Schedule module, in the dropdown menu More information, enter the Project of your choice that contains the default shift tags. Once entered, the Tags automatically appear in the field just below!

Finally, you can now add projects to punch cards! As a result, when you create a Punch Card for the shift corresponding to the Project with default tags, in Management > Punch Cards > Create Punch Card, the Project will automatically show up in that punch card under the Project, Breaks, Transfers, and Bonuses drop-down menu.


A SHIFT IN A CONTACT LIST WILL NO LONGER BE AVAILABLE IF IT IS MODIFIED

If you edit a shift while a contact list is in progress to fill it, then the contact list stops and the following yellow highlighted message appears:

If you click on it, the list stops, if you don't, the editing is made in the schedule and the list continues.


USERS BLOCKED ON A PROJECT ARE NOW AUTOMATICALLY INELIGIBLE

Previously, users who were blocked on a project could still be considered eligible for a shift related to the project. Now, when you create a shift with blocked users, you will not be able to assign these users to the shift.


A NEW OPTION TO PREVENT EMPLOYEES FROM CREATING CERTAIN ATTENDANCE REQUESTS

If certain attendance requests (absences, late arrivals, early departures) are not useful in your context, you can prevent employees from creating them.

To do this, go to Admin > Attendances and check Prevent employees from creating early out requests and/or Prevent employees from creating late requests and/or Prevent employees from creating absences requests.

However, as a manager, you can create any attendance request for employees.


POSSIBILITY FOR A MANAGER TO CREATE SPECIFIC AVAILABILITIES FOR EMPLOYEES

Availability ranges can sometimes be quite narrow depending on the context. You can therefore create custom availabilities for employees.

Previously, you could only choose if the employee was available or unavailable and a pre-recorded schedule type. Now, by clicking on Specify range, you can set up an availability outside the pre-saved hours.
