Customized schedule display, additional warning messages and improved leave creation

ADDITION OF A WARNING MESSAGE WHEN RE-INVITING USERS

In order to minimize the number of messages sent to employees, when you invite users to join the platform, the software asks you to confirm the number of people to be contacted to ensure that there are no errors.

1. Invite and/or reinvite users

2. Enter important information

  • If you want to invite new users AND users who have already been invited, check the Re-invite previously onboarded users option

  • If you only want to invite new users, do not check this option

  • Confirm the number of users you are re-inviting using the green button, in the example above you would need to write "15" in the text field as it says "Invite 15 users"


ADDITION OF A WARNING MESSAGE WHEN THE EXTERNAL PROVIDER FOR SENDING CALLS AND SMS COULD ENCOUNTER PROBLEMS

Despite its reliability, it is possible that our external provider handling the calls and SMS that you and your employees encounter errors! When this happens, the following error message is displayed so that you know what the problem is.

If the problem has an impact on your operations, contact our support team right away!


ADDITION OF A TEXT MESSAGE WARNING WHEN A SHIFT THAT HAS BEEN OFFERED TO AN EMPLOYEE IS NO LONGER AVAILABLE

When a shift is vacant, you can automatically send a text message to available and qualified users to fill that shift. It may happen that the shift has been accepted before by User 1 while User 2 has replied that he is available to work. In this case, the following text message will be sent to notify User 2:


CREATION OF AN OPTION TO CREATE A LEAVE OF ABSENCE IN THE QUICK ASSIGNMENT TOOL

In order to go further in the speed of the actions you can take in the software, we have decided to integrate the possibility to add a time-off request in the quick assignment tool! You can create leave for more than one user at a time, to do this, go to the Schedule module and follow these steps:

Enter the important information

  • Make sure that all employees for whom you want to create leave requests are present in the user list

  • Indicate the status of the request: Approved, In progress or Refused

  • Indicate the request type it is

  • Enter the start and end date of the time-off

  • Finally, click on Submit

The time-offs you have just created will automatically be at the top of the list in the Time-off module.


CREATION OF AN OPTION TO HIDE ROWS THAT HAVE NO SHIFTS ON THE SCHEDULE

In order to give you a clearer view of your schedule by week, day or project, you can now hide positions that have no assigned shifts in Schedule > View > Hide empty rows


CREATION OF AN OPTION TO FILTER THE SCHEDULE TO SEE ONLY THOSE SHIFTS THAT HAVE NO TIME CARD ATTACHED

In the Schedule module, you will be able to filter the schedule according to the users who have punched in or not in order to have a better view of the situation. This can be done in two ways:

1. In the View menu, choose the option Show punch information. When an employee has punched in, an icon with an arrow will appear to the left of their name.

2. In the Filters text field, enter Show unpunched shifts, the remaining shifts are not linked to any time card. It is then up to you to contact these employees or create a time card for them.
