How to manage hiring data? 💾

The Hiring data tool allows you to fill in details about employee profiles, including the type of contract, employee, and permit.

1. Click on People > Hiring data

2. Click on Create a hiring data or Edit to make a change to an existing record

3. Then enter the relevant information on the right side of your screen

  • The name of the hiring data must be as precise as possible so as not to be confused with another one

  • The type of hiring data can be either a contract, an employee or a permit

  • The import code will be used to import user profiles or export reports (optional)

For the Scheduling drop-down menu :

  • The Minimum distance between shifts is a mandatory time range between two shifts performed by the same user.

  • The maximal working hours means that the employee must not work more than this number of hours

  • Limit shift start/end allows you to specify the earliest time the employee can start work and the latest time the employee can finish work

For the Availabilities drop-down menu :

  • Approving availabilities by default means that you don't have to manually approve the requests, the system does it by itself

  • Must give a minimum notice to submit their availabilities requests allows users to change their availability a number of days before it starts

  • Restrict availabilities allows employees to select pre-set availability ranges, to find out how this works, read our article on this topic

  • Can't update their availabilities prevents them from creating availability requests or updating existing ones.

  • Enable cutoff date for availabilities to restrict employees to adding their availabilities within a defined period.

For the Expiration drop-down menu :

  • Has a validity period to enter an expiration date in the user's profile

  • Send a hiring data expiration email ensures that the user will receive an email a few days before the expiry date. You can set up this feature in Admin > Application Settings > Management > Enable hiring data expiration notifications:

4. Assign hiring data to a user

Go to the portal Management > Users. When you create or modify a user, you can add Hiring Information under the Hiring Information drop-down menu.

You can add as many as you want by clicking on the + and remove as many as you want by clicking on the trash can icon.
